Event Sales & Client Engagement Coordinator

Role Summary
The Event Sales & Client Engagement Coordinator supports the full lifecycle of private, public, and cultural events at Michigan Central, from initial inquiry through event execution and post-event follow-up. This role is client-facing and sales-oriented, serving as a primary point of contact for clients while partnering closely with internal sales, logistics, experience, and production teams to deliver seamless, high-quality events.
This position plays a critical role in driving revenue, supporting lead conversion, and ensuring a consistent, audience-centric client experience that reflects Michigan Central’s brand and operational standards.
Key Responsibilities
Sales Support & Lead Management
- Serve as an initial point of contact for inbound event inquiries, providing timely, professional responses and qualifying leads.
- Support the sales pipeline by scheduling site tours, preparing proposals, and assisting with pricing, availability, and space recommendations.
- Maintain accurate client and event data in Tripleseat to support forecasting, reporting, and revenue tracking.
- Assist with contract preparation, including license agreements and addenda, ensuring timely execution and compliance.
Client Engagement & Event Execution
- Act as a consistent client liaison throughout the event lifecycle, from booking through event day, ensuring clarity, responsiveness, and alignment.
- Coordinate with clients to gather key event details, timelines, vendor needs, and experience expectations.
- Partner with the Event Logistics and Production team to transition booked events into execution, ensuring accurate and complete handoff.
- Support client communications including know-before-you-go materials, load-in/out schedules, and event-day expectations.
- Participate onsite to support client experience and ensure service standards are met.
Cross-Functional Coordination
- Collaborate with internal teams including logistics, production assistants, janitorial, security, engineering, and visitor engagement staff.
- Support vendor coordination by tracking Certificates of Insurance (COIs) and ensuring vendor compliance with Michigan Central policies.
- Assist with internal scheduling, staffing coordination, and event documentation as needed.
Administrative & Operational Support
- Maintain organized digital records for events, contracts, and client communications.
- Assist with post-event follow-up, feedback collection, and reporting.
- Support sales and leadership with ad-hoc reporting, metrics tracking, and process improvements.
- Uphold Michigan Central’s policies related to safety, compliance, liquor licensing, and vendor management.
Qualifications
Required
- 2–4 years of experience in event sales, event coordination, hospitality, or client services.
- Strong client communication skills with a professional, service-oriented approach.
- Highly organized with the ability to manage multiple events and deadlines simultaneously.
- Experience working in CRM or event management platforms (Tripleseat preferred).
- Proficiency in Microsoft Office and Google Workspace tools.
- Ability to work evenings and weekends for events.
Preferred
- Experience in venue-based event sales or large-scale event operations.
- Familiarity with contracts, event licensing, and vendor coordination.
- Knowledge of event compliance requirements including insurance and safety standards.
- Passion for creating exceptional guest and client experiences.
